Pre event Checklist

During the early stages of planning, you'll want to make sure you have set up the relevant platforms needed to execute your event.

  • Event listed on your website: We recommend listing your event as soon as possible once the details are confirmed, and you should update the event listing when further details are confirmed (presenter names, pitching projects etc.). You can visit the TFN Upcoming Events page as a guide.

  • Registrations open to guests: When you set up your event listing, you will want to make sure there is an easy option for guests to register their place for the event (on your own website or using an external website like Humanitix). Have a think about the information you would like to collect from your guests (e.g. name, phone number, company name). If your event involves an online audience, TFN will need a list of all your guest names and email addresses to upload into Crowdcast the day before the event.

  • Event listed on TFN's website/socials: With your approval, we will list your event on our website to gain more exposure, and we will promote your event if TFN are tagged in your posts. guests register in the same place.

  • Donations platform prepared for payment collection: You will need to establish a web page where guests can pay for their pledges. Feel free to use the TFN Pledge Fulfilment page as a guide - we recommend clearly listing your 3 programs on the one page, making it as easy as possible for guests to pay for all pledges at once if they have donated to multiple programs.

  • I'm running a Hybrid event

    If you are running a hybrid event, speak to your TFN Partnerships & Events Manager about how to handle registrations for two audiences.

  • Does TFN keep our data?

    Please note that TFN do not retain your attendee information post-event.

  • Include questions a potential student may have before purchase.

    Address common questions ahead of time to save yourself an email.

PREPARING YOUR SPEAKERS

You will want to reach out to your presenters as soon as possible, to make sure they know what is expected of them in the lead up to the event. Overall, you should make sure: ​

  • Presenters and buddies are confirmed for both pitch coaching workshops, the Crowdcast rehearsal (if virtual) and the event (TFN will send calendar invites for all occasions).

  • Contact details & short bios of all presenters/buddies are sent to TFN to forward to the pitch coach, as well as short explanations of the 3 presenting projects, prior to the first workshop.

  • Presenters complete the required pre-work on the learning module platform before the first pitch coaching session.

  • Post pitch coaching workshops, presenters provide their initial 3 x slides, script and seeded questions 1 day prior to the event rehearsal

  • For a virtual event, all speakers (your three presenters, as well as any welcome speakers from your organisation, and your three advocates) will need to ensure they have an initial test with TFN with the Crowdcast platform if they are logging in to the event remotely.
